1 year renewable contract
Responsibilities of Admin Executive:
- Perform reception duties in respect of visitors to the office
- Manage all aspects relating to the office telephone system including transfer/forwarding of calls
- Manage & monitor sales enquires generated through telephone & web
- Handle phone call professionally, and follow-up for closure and good customer satisfaction
- Keep track of projects timeline, activities and follow-ups
- Manage the mailing process to ensure that mails are sent, collected and distributed promptly to the appropriate personnel
- Monitor and purchase office stationary and pantry supplies to ensure that adequate stock levels
- Ensure that office premise and equipment is well maintained and co-ordinate repairs/replacements/installations where necessary
- Co-ordinate the ordering and distribution of staff’s complimentary magazines
- Checking of staff’s claims (e.g. transport, staff expense and overseas travel) to ensure appropriate signatories are obtained before submitting to Shared Service Centre for processing
- Any other administrative support
- Generate purchase requisitions and purchase orders using SAP system
- Sales administration, including generating of monthly billing, filing & other paperwork and updating of customer’s information in the in-house system
Requirements:
- Diploma in a business discipline or relevant
- Minimum 3 years’ office administration knowledge and secretarial/admin support experience
- Pleasant and professional telephone etiquette
- Good communication and interpersonal skills
- Meticulous, resourceful, systematic and organized
- Proficient in MS Office (Excel, Words & PowerPoint) is essential
- Pleasant disposition with a strong customer focus
- A team player
- Experience in using SAP system will be advantageous
